1. Identity and responsibilities
FAFAB INTEGRATED FACILITIES LTD (company number 17166678). Registered office: 2nd Floor Suite-8, Cranbrook House, 61 Cranbrook Road, Ilford, London, United Kingdom, IG1 4PG. FER Track is a product/service operated by FAFAB Integrated Facilities Ltd. Website: fertrack.app. Privacy enquiries may be submitted through FER Track’s published contact channels. Last updated: 3 November 2026. For customer workforce information, the customer/business acts as Controller and FAFAB Integrated Facilities Ltd / FER Track acts as Processor where applicable. FAFAB may separately act as Controller for its own account administration, security, billing and service management.
2. Information and sources
Workspace administrators and workers supply account/contact details, invitations, workforce records, schedules, assignments and evidence/documents. Attendance actions may supply timestamps and location coordinates through device location permission. Attendance history and operational reports organise those records. Service operation may also involve authentication and technical/security information.
3. Location monitoring
FER Track monitors location only for attendance during an active work session. How it works: (1) Location is requested through the device's browser location permission when a worker starts, resumes or finishes attendance. (2) During an active shift, while the attendance page remains open, location is requested approximately every 60 seconds, including breaks while the page stays open. (3) Each check is stored with the attendance record as a timestamp, coordinates, accuracy, distance from the assigned site and an inside/outside-site indication. (4) Workers' own attendance records and site indicators are visible in their portal; managers and administrators can view the attendance location history for workers in their own workspace according to their role. (5) When the page is closed, sampling stops. When the page is hidden or in the background, the browser or operating system may pause or delay collection. FER Track does not provide native 24/7 GPS tracking and does not track workers outside work activity. (6) Site-boundary (geofence) checks are currently recorded for review and are not automatically enforced; enforcement options are in development. (7) Administrators may add attendance evidence without device location; such records are marked as admin-supplied and show no coordinates. Location accuracy depends on the device and conditions.
4. Purposes and access
Information is used for workspace operation, attendance and staffing administration, reporting, support and account security. Role-based permissions and site/manager access determine which authorised users may see records. Customers are responsible for determining the appropriate lawful basis and providing workforce notices for their processing. Device permission alone does not establish a lawful basis for employee monitoring.
5. Providers and transfers
FER Track uses Hostinger, Supabase and Titan Email infrastructure. Supabase production is in eu-west-2 — West Europe (London). The Hostinger server is in Massachusetts, USA, with backups in Boston, USA. Documents and data may be stored using Hostinger/Supabase infrastructure depending on the relevant part of the application. US hosting and backups may involve international transfers; applicable data protection requirements govern those transfers. Available payment arrangements may include PayPal and GoCardless, depending on the applicable commercial arrangement. This does not mean automated payment processing is available in every service flow.
6. Retention and security
Personal data is retained only for as long as necessary for the purposes for which it was collected, to operate the service, meet contractual requirements and comply with applicable legal obligations. Retention periods may vary by data type and customer requirements. Account deletion or deactivation may not automatically remove all operational, audit or legally required records. Infrastructure backups may be maintained by the relevant hosting/database providers; retention and recovery arrangements depend on the configured service plan and infrastructure settings. FAFAB Integrated Facilities Ltd maintains appropriate technical and organisational measures designed to protect personal data against unauthorised access, loss, misuse, alteration or disclosure. No system can guarantee absolute security.
7. Rights and enquiries
Workers should contact their employer/workspace administrator about workforce records. Privacy enquiries may be submitted through FER Track’s published contact channels. Requests for access, correction, deletion, restriction, objection or portability are considered in accordance with applicable law and the relevant Controller/Processor roles.
