1. Scope and responsibility

FAFAB INTEGRATED FACILITIES LTD (company number 17166678). Registered office: 2nd Floor Suite-8, Cranbrook House, 61 Cranbrook Road, Ilford, London, United Kingdom, IG1 4PG. FER Track is a product/service operated by FAFAB Integrated Facilities Ltd. Website: fertrack.app. Privacy enquiries may be submitted through FER Track’s published contact channels. Last updated: 3 November 2026. For customer workforce information, the customer/business acts as Controller and FAFAB Integrated Facilities Ltd / FER Track acts as Processor where applicable. FAFAB may separately act as Controller for its own account administration, security, billing and service management. This policy explains service-level monitoring; customers should provide their own workforce notices reflecting their use of FER Track.

2. What attendance records show

FER Track supports clock-in, break and clock-out timestamps, GPS/location-based attendance records, attendance history, scheduling, assignments, staffing records and uploaded operational evidence. Device location permission may be requested for attendance actions. Location monitoring relates to attendance/workforce activity during an active work session. During an active staffing shift, the relevant page may request location approximately every 60 seconds. Additional checks may occur at relevant start/finish events and when the page becomes visible again. Sampling may include breaks while the active shift page remains open. Browser or operating-system behaviour may throttle or pause collection in the background. Closing the page stops page-based location sampling. FER Track does not provide native 24/7 personal GPS tracking or guaranteed background tracking and does not continuously track workers outside work activity. Location accuracy depends on the device and conditions. Geofencing is still being developed/finalised and is not a fully available production feature. Payroll and client invoicing are available production features. Selfie-based attendance evidence capture is available; automated face-recognition matching and liveness verification are not enabled. Remaining roadmap functionality should not be relied on as an available service.

3. Before monitoring

Customers should explain the purpose, records collected, timing, recipients, retention and challenge process before monitoring begins. They should consider necessity, proportionality, less intrusive alternatives and applicable impact assessment or consultation requirements. Worker consent should not be assumed from an invitation, signup, login or device permission.

4. Access and fair decisions

Limit site/manager and administrator access according to role and genuine operational need. Check location accuracy and context and give workers a way to query errors before consequential decisions. FER Track must not be used for covert monitoring or tracking outside relevant work activity. Workers should raise attendance corrections or concerns with their employer/workspace administrator.

5. Retention and privacy requests

Personal data is retained only for as long as necessary for the purposes for which it was collected, to operate the service, meet contractual requirements and comply with applicable legal obligations. Retention periods may vary by data type and customer requirements. Account deletion or deactivation may not automatically remove all operational, audit or legally required records. Infrastructure backups may be maintained by the relevant hosting/database providers; retention and recovery arrangements depend on the configured service plan and infrastructure settings. Workforce enquiries should go to the employer/workspace administrator. Privacy enquiries may be submitted through FER Track’s published contact channels. Requests are considered in accordance with applicable law and the relevant processing roles.
